At VaultRent, we strive to provide excellent service and want you to be satisfied with your subscription. This Refund Policy explains our cancellation and refund procedures.

2. Free Trial Period
2.1 14-Day Free Trial
All new customers receive a 14-day free trial with full access to VaultRent features. No credit card required to start your trial.
2.2 Trial Conversion
- At the end of your trial, you'll be prompted to choose a subscription plan
- You will NOT be automatically charged unless you explicitly select a paid plan
- Your data is saved during the trial and available when you subscribe
2.3 Trial Limitations
- One free trial per email address
- Free trials cannot be extended or repeated
- Trial accounts may have data storage limits
3. Cancellation Policy
3.1 How to Cancel
You can cancel your subscription at any time:
- Log into your VaultRent account
- Go to Settings → Billing
- Click "Cancel Subscription"
- Confirm your cancellation

3.2 When Cancellation Takes Effect
- Monthly Plans: Access continues until the end of your current billing period
- Annual Plans: Access continues until the end of your current billing year
- No partial refunds for time remaining in the billing period (unless eligible under Section 4)
3.3 No Cancellation Fees
We do not charge any fees for canceling your subscription. You simply stop being billed at the end of your current period.
4. Refund Eligibility
4.1 30-Day Money-Back Guarantee (First-Time Subscribers)
If you're a first-time VaultRent customer, you're eligible for a full refund within 30 days of your first paid subscription.
Conditions:
- Applies to your first paid subscription only (after the free trial)
- Request must be made within 30 days of your first payment
- Available for monthly or annual plans
- Full refund issued to your original payment method
4.2 Service Outage Refunds
If VaultRent experiences significant downtime (more than 24 consecutive hours) due to our systems, you may be eligible for a prorated credit or refund.
Scheduled maintenance and third-party service disruptions do not qualify for refunds.
4.3 Billing Error Refunds
If you were charged incorrectly due to a billing error, we will issue a full refund of the incorrect charge within 5-7 business days.
5. Non-Refundable Situations
Refunds are NOT available in the following cases:
5.1 Renewal Subscriptions
- Subscription renewals (monthly or annual) are non-refundable
- You must cancel before your renewal date to avoid being charged
- We send renewal reminder emails 7 days before charging
5.2 Partial Month/Year Refunds
- If you cancel mid-billing period, you retain access until the period ends, but no prorated refund is issued
- Exception: First-time subscribers within the 30-day guarantee period
5.3 Account Termination for Violations
- No refunds if your account is terminated for violating our Terms of Service
- This includes illegal use, abuse, or fraudulent activity
5.4 Addon Services (Future)
- One-time purchases or addon services are generally non-refundable
- Specific refund terms will be disclosed at the time of purchase
6. Refund Process
6.1 How to Request a Refund
To request a refund:
- Email support@vaultrent.com with the subject "Refund Request"
- Include:
- Your account email address
- Reason for refund (optional but helpful)
- Date of original charge
- We'll review your request within 2 business days
6.2 Refund Timeline
- Approval: Refund requests are typically approved within 2 business days
- Processing: Refunds are processed within 5-7 business days of approval
- Credit Card Refunds: May take an additional 5-10 business days to appear on your statement, depending on your bank
6.3 Refund Method
Refunds are issued to the original payment method used for the purchase. We cannot issue refunds to different accounts or payment methods.
7. Plan Downgrades and Upgrades
7.1 Upgrading Your Plan
- Upgrades take effect immediately
- You're charged a prorated amount for the remainder of your billing period
- Your next renewal will be at the new plan price
7.2 Downgrading Your Plan
- Downgrades take effect at the end of your current billing period
- You retain access to your current plan features until the period ends
- No refunds for the difference between plan prices
7.3 Feature Limitations
If you downgrade to a plan with fewer features (e.g., property limits), you may need to remove excess data before the downgrade takes effect.
8. Data Retention After Cancellation
8.1 Grace Period
After cancellation, we retain your data for 30 days in case you decide to reactivate your account.
8.2 Data Export
You can export all your data at any time before or after cancellation:
- Go to Settings → Data Export
- Download your property, tenant, and document data
- Exports are available in CSV and JSON formats
8.3 Permanent Deletion
After 30 days, your data is permanently deleted from our servers (except as required by law for financial records).
